SCIVR Privacy Policy
SCIVR provides immersive educational content and learning tools to schools and educational organizations. This Privacy Policy explains what personal information SCIVR collects through its platform, how that information is used and protected, and the choices available to schools, educators, parents, and students.
When a school or educational organization provides student or educator information to SCIVR, SCIVR processes that information to provide the educational services requested by that organization. The school or organization determines what information is provided to SCIVR and how accounts are configured.
Information We Collect
The information SCIVR receives depends on how a school chooses to set up and use the platform.
Student Information
SCIVR may receive:
- Name
- School, class, and course information
- Account or roster identifier
- Lesson and activity completion
- Quiz and assessment results
- Number of attempts
- Time spent and activity timestamps
- Email address when the school chooses an account configuration that uses email-based login
When accounts are synced through SchoolDay/GG4L, SCIVR receives an anonymized account identifier rather than the student’s actual email address.
Schools may also choose account configurations that use non-identifying or placeholder credentials where available.
Educator and Administrator Information
SCIVR may receive:
- Name
- School or organization
- Role
- Classes or courses associated with the account
- Email address when email-based login is used
Technical and Support Information
SCIVR may receive limited technical information necessary to operate, secure, and troubleshoot the platform, such as device or browser information, login activity, system logs, and information provided when a user or school contacts SCIVR for support.
SCIVR does not intentionally collect Social Security numbers, government identification numbers, health or medical information, biometric information, or student-created audio or video as part of its educational platform.
How We Use Information
SCIVR uses personal information only as necessary to provide and support its educational services, including to:
- Create and manage accounts
- Provide access to educational content
- Manage classes, assignments, and licenses
- Track student participation and learning progress for authorized educators and administrators
- Provide assessment and usage information to the school
- Provide technical and customer support
- Maintain the security and reliability of the platform
- Improve the performance and functionality of SCIVR’s services
SCIVR does not sell student or educator personal information.
SCIVR does not use student personal information for targeted advertising.
SCIVR does not use student information to create profiles for purposes unrelated to the educational services provided to the school.
How Information Is Shared
SCIVR shares personal information only as necessary to provide its services, support authorized integrations, protect the platform, or comply with applicable law.
Information may be shared with service providers that support SCIVR’s operations, including cloud hosting, infrastructure, authentication, rostering, and technical service providers. These providers are permitted to process information only for authorized purposes and are required to protect it appropriately.
Where a school uses SchoolDay/GG4L or another approved integration, information may be exchanged as necessary to provide that integration.
SCIVR may disclose information when required by applicable law, legal process, or a valid governmental or regulatory request. Where legally permitted, SCIVR will work with the affected school or organization regarding such requests.
SCIVR does not disclose student personal information to third parties for advertising or unrelated commercial purposes.
Student and Children’s Privacy
SCIVR is designed for educational use under the direction of schools and educational organizations.
SCIVR uses student information only for authorized educational purposes and does not use student information for unrelated commercial purposes.
Schools, parents, students, and other individuals may have privacy rights under the laws applicable in their country or region. SCIVR works with its school customers to support those rights, including requests to access, correct, or delete personal information where required.
Because schools control the student and educator information provided to SCIVR, parents and students should generally begin requests regarding school records with their school. SCIVR will assist the school in responding to those requests as appropriate.
United States Schools
For schools and districts in the United States, SCIVR supports customers in meeting applicable requirements under the Family Educational Rights and Privacy Act (FERPA) and the Children’s Online Privacy Protection Act (COPPA).
SCIVR uses education records provided by schools only for purposes authorized by the school and does not use those records for independent commercial purposes.
Where permitted under COPPA, schools may authorize SCIVR’s collection and use of children’s personal information for school-authorized educational purposes.
International Privacy
SCIVR serves schools and educational organizations in multiple countries and regions.
Where local privacy or data protection laws apply, SCIVR processes personal information in accordance with those requirements and the applicable agreement with the school or organization.
Depending on the applicable law, individuals may have rights relating to their personal information, including rights to access, correct, delete, restrict, or object to certain processing. SCIVR works with its school customers to support the exercise of applicable privacy rights.
Additional privacy, security, data residency, or data-transfer requirements may be addressed in the agreement between SCIVR and the school or educational organization when required.
Data Hosting and Transfers
SCIVR uses hosting and infrastructure appropriate to the services provided and the requirements applicable to its customers.
Where applicable law or a customer agreement requires data to be stored in a particular location or places restrictions on transferring personal information across borders, SCIVR applies the required safeguards and contractual terms.
Information may be processed by authorized service providers where necessary to operate and support the SCIVR platform, subject to applicable privacy and data protection requirements.
Data Security
SCIVR maintains administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, alteration, loss, or disclosure.
These safeguards include measures such as protection of information during transmission and storage, access controls, and restrictions on access to student and educator information.
No system can guarantee absolute security, and SCIVR reviews and updates its security practices as its services and technology evolve.
Data Retention and Deletion
SCIVR retains personal information only for as long as necessary to provide its services and meet applicable contractual or legal requirements.
When a school’s relationship with SCIVR ends, or when deletion is requested by an authorized school representative, SCIVR deletes or returns school data in accordance with the applicable agreement, legal requirements, and SCIVR’s data retention procedures.
SCIVR does not retain student personal information longer than necessary for the educational purposes for which it was collected.
School Control of Information
Schools and educational organizations determine what student and educator information is provided to SCIVR and how their accounts are configured.
Schools may contact SCIVR for assistance with:
- Accessing personal information
- Correcting inaccurate information
- Deleting information
- Questions regarding data use or retention
- Applicable privacy or data protection requests
Parents and students should generally begin requests relating to school-provided information with their school or educational organization.
Changes to This Policy
SCIVR may update this Privacy Policy as its services, business practices, or legal requirements change.
The current version will be posted on this page with the date of the most recent update. SCIVR will provide additional notice of material changes where required by applicable law or its agreements with customers.
